Receipt vs invoice — what's the difference?
People often use the words interchangeably, but in the eyes of accountants (and the tax office), they're different documents.
Invoice
Sent before payment.
- • A request for payment
- • Shows what's owed and when it's due
- • Includes payment terms (Net 7, Net 30, etc.)
- • Has an invoice number for your records
Receipt
Sent after payment.
- • Proof that money was received
- • Shows the date and method of payment
- • Marked "Paid" with the amount paid
- • Customer keeps it for their records or tax return
In practice, many small businesses send an invoice first, then convert it into a receipt once the customer pays. BillingDone's free generator does both — change the title to "Receipt" and mark it Paid.
What every receipt template should include
Name, address, phone, email, and tax/registration number if you have one.
Name and (optionally) contact info of the person or business who paid.
A unique sequential number so you and your customer can reference it later.
The actual date the money was received — not the date the work was done.
What was paid for: services, products, quantities, unit price, and line total.
Break out tax so the customer can claim it if they're a business.
Cash, card, bank transfer, Stripe, PayPal, Venmo, Cash App, etc.
Make it obvious this is a receipt, not an invoice still awaiting payment.
Who uses receipt templates?
Anyone collecting money for a product or service. BillingDone is built specifically for service businesses on the move.
Receipt template FAQ
What is a receipt template?
A receipt template is a pre-formatted document used to confirm that a payment has been received. It typically includes the seller's details, the buyer, the date, what was paid for, the amount, and the payment method.
What's the difference between a receipt and an invoice?
An invoice is a request for payment sent before the customer pays. A receipt is proof that the payment was received after the fact. Many small businesses send an invoice first, then a receipt once the money lands.
Do I legally need to give a receipt?
In most jurisdictions, customers are entitled to a receipt on request, and businesses must keep records of sales for tax purposes. Specific rules vary by country and industry — check your local tax authority.
Can I use the BillingDone invoice generator to create a receipt?
Yes. The free generator lets you change the document title from "Invoice" to "Receipt", mark it as Paid, and include the payment method and date received. You can then download it as a PDF or share a link.
What should a receipt template include?
Your business name and contact info, the customer's name, a unique receipt number, the date of payment, a description of goods or services, the total amount paid, the payment method, and any tax collected.
